Parental Consent
The consent a parent or guardian gives before a child under 16 joins an academy on KOVA.
Verifiable parental consent, given by an authenticated parent/guardian on behalf of a managed child under 16.
Provider: KOVA Technologies Inc. (Texas) · Service: app.kova8.com and the KOVA app.
Effective date: The date this version is published in the Service. Version: v1.0 (acceptance is version-recorded).
When this is shown: to a parent/guardian, after they have signed in to their own KOVA account (an authenticated session), at the point they accept an invitation that links one or more managed children under 16 to their account. It is presented together with, but as a separate acknowledgment from, the Terms of Service and Privacy Policy, and the separate Media/Film Release.
1. Who you are and what you are consenting to
You are confirming that:
- you are the parent or legal guardian of the child or children named in this flow, and are at least 18 years old;
- you have the authority to consent to the collection and use of your child's personal information; and
- you are giving this consent from your own authenticated KOVA account, knowingly and voluntarily.
How this consent is verified (v1): you received an email invitation addressed to you, created your own credentialed KOVA account, and are giving each consent below as a separate affirmative act in that authenticated session. KOVA records the document version, the child, the timestamp, and your account for each consent.
2. The child's managed account
Your child is under 16 and will be represented by a managed account that you operate. Your child will not have their own login. You control your child's participation and can review, correct, or request deletion of your child's information, refuse further collection, and withdraw this consent, at any time (see §6).
3. What KOVA collects and does with your child's information
By giving consent, you agree that KOVA may collect and use your child's information to provide the Service, as described in the Privacy Policy. In summary, this includes: your child's name, date of birth, team and academy affiliation, attendance and participation, coaching notes, schedules, messages within the academy, and soccer player-development ratings and metrics. KOVA uses a limited set of service providers (database/storage, hosting, email, payments, and — for optional AI features only — AI processing) as described in the Privacy Policy.
KOVA does not sell your child's personal information, does not use it for advertising, and does not use it — including film and AI-companion conversations — to train KOVA's or any third party's AI models. KOVA may use de-identified, aggregated data that cannot identify your child, as described in the Privacy Policy.
4. The two additional consents
Two uses are more sensitive and are handled as separate, specific choices rather than being bundled into the general consent above. They differ in one important way: the Media/Film Release is required for participation, and the AI-companion opt-in is genuinely optional.
4a. Media / Film Release (separate document — required)
Film-based coaching is a core function of the Service: recording, reviewing, and analyzing short clips of training and matches is central to how academies use KOVA to develop players. For that reason, the separate Media/Film Release — which you review and decide on as its own step — is a condition of your child's participation. If you decline it, your child cannot be enrolled in the Service. The release is strictly limited to coaching and development within the academy; it is not a publicity or marketing release, and clips of your child are never shared outside the academy's authorized audience. You may withdraw it later, with the effects described in that document.
4b. AI companion — optional, and OFF unless you turn it on
KOVA is building an optional AI companion for players. It is switched off at launch and will not interact with your child unless (1) you opt in below and (2) KOVA later enables the feature. Before you decide, please know:
- The companion is AI, not a human, powered by a third-party AI provider.
- It is scoped to soccer and player development only — not a general-purpose chatbot.
- It is not medical, psychological, or safeguarding advice, and not a substitute for a trusted adult.
- Safety escalation: if the companion detects a welfare or safety signal in what your child says, it will send an email alert to your academy's designated Welfare Officer (a named human at the academy). The companion cannot be enabled for an academy that has not designated one.
- It processes your child's messages to it and a limited amount of your child's own soccer-development context, as described in the Privacy Policy. Companion conversations are retained for the duration of your child's participation, deleted within 30 days if you withdraw this opt-in or request deletion, and in any event within 90 days after your child's participation ends.
- You can withdraw this opt-in at any time in the Parent Portal (Manage Child → Privacy & Consents) or by emailing legal@kova8.com. Withdrawal disables the companion for your child immediately, and your child's companion conversation history is deleted within 30 days.
☐ AI-companion opt-in (optional — leave unchecked to decline). "I permit KOVA to enable the soccer AI companion for my child when the feature becomes available, on the terms above. I understand this is optional, is off unless I check this box, and can be withdrawn at any time."
This box is unchecked by default. Leaving it unchecked does not limit your child's use of the rest of the Service. This consent is recorded now, in advance, so that if you opt in, KOVA can enable the feature for your child later without a new consent event; you will be notified in-app before the companion first becomes active for your child.
5. Gating vs. optional — summary
To enroll your child, you must accept the Terms of Service and Privacy Policy, complete this Parental Consent, and grant the Media/Film Release (§4a). The AI-companion opt-in (4b) is the only optional item and is defaulted off.
6. Your ongoing rights
At any time you may: review the personal information KOVA holds about your child; correct it; request its deletion; refuse further collection; and withdraw any consent given here, including the AI opt-in and (via its own document) the Media/Film Release.
How: in-app via the Parent Portal (Manage Child → Privacy & Consents), or by emailing legal@kova8.com. KOVA verifies requests against your authenticated parent account linked to the child, or by confirming control of your registered email for out-of-app requests, and responds within 30 days. Refusing further collection ends your child's participation in the Service; deletions are completed within 30 days and confirmed to you. Note that because the Media/Film Release is a condition of participation, withdrawing it has the effect described in that document.
7. Records and versioning
KOVA records which documents you accepted, which version, on behalf of which child, and when, as an audit trail retained for 5 years after the related account closes. If a document materially changes — including any change to how your child's information is handled — KOVA will notify you and ask you to review and accept the new version before the affected processing continues. Prior consent records are retained as history.
